Good evening, and a very warm welcome to our Annual General Meeting for the 2024 –2025 year. On a cool night such as this, your attendance is especially appreciated. As a Committee of Management, we are grateful for every effort made by our volunteers, whose commitment keeps Sunbury Community Radio alive and thriving.
This past year has been one of consolidation, building on the groundwork laid in recent years. While we still have a long way to go in establishing a truly solid platform, particularly in regard to station finance, we are moving in the right direction. Over the past two years, we have sought to challenge the traditional approach to funding community radio. Even against this backdrop, it is encouraging to note the positive response from many local businesses across our broadcast region, especially as they continue to recover from the challenges of the Covid-19 period.
In this regard, special mention must be made of Garry Anderson, who has once again done a sterling job in pursuing every possible sponsorship lead. On behalf of the Committee, I encourage all members to share any opportunities they may come across that could assist with sponsorship and funding support.
Looking forward, the management team is preparing a five-year business plan and expects to report on its progress over the coming financial year. It is also worth noting that this year we formally transitioned from a not-for-profit organisation to a registered charity under new government regulations. In addition, work is already underway on the Station’s licence renewal.
On the programming front, it is pleasing to report that we have continued to increase the number of presenters on our grid. While there are still a few gaps to fill, and retaining existing presenters remains an ongoing task, growth is encouraging. A notable innovation this year has been the introduction of an overnight program from midnight to 6 a.m., dedicated to Australian country music. This initiative seeks to build a listening base across streaming platforms as part of a cultural positioning strategy. To our knowledge, we are the only community radio station focusing on this genre and timeslot. We encourage members to help spread the word, particularly among truck drivers, shift workers, and rural listeners.
Our technical team has also made significant progress this year, upgrading outdated systems by installing eight Raspberry Pi units. Once fully commissioned, this new setup will greatly strengthen our technical capacity and improve the station’s ability to take advantage of broader streaming opportunities.
Last year I raised the idea of moving to two-year terms for committee members, with staggered elections to ensure continuity. I am pleased to report that we now have a template to integrate this process into our constitution. It is our intention to bring a formal proposal to members at next year’s AGM as a special resolution.
Finally, I wish to thank my fellow committee members, along with all presenters and volunteers, for their invaluable contributions throughout the year. Together, we have much to be proud of, and we look forward to building on our progress in the year ahead. We now move to the formal business of the Annual General Meeting.

2024/25 Technical Report
This has been an eventful year from a technical point of view, firstly with the broadcast PC in studio #1 expiring we had to switch over to studio #2 which was thankfully operational with some limitations. As studio #1 was off line it was then decided to also replace the mixing desk with one of the ones acquired by Dan. The tech crew had various complaints regarding the old desk. This was eventually completed after many hours of swearing and testing along with the resurrected PC just prior to the warmer months so presenters would have air-con. Moving back to studio #1 also gave us more professional outside broadcast facilities.
Software issues with the studio #1 broadcast PC causing intermittent issues for presenters on changing from “auto” to “assisted” were overcome by swapping it with PC from studio #2. A replacement PC has been acquired and has been loaded with Radio DJ software and associated Sponsor and relevant messages, and also music. This PC is therefore available to be used in the event of a failure.
All in all we have survived the year quite well. There is an ongoing issue with the Denon recorders which we suspect is due to some USB sticks. The recorders have been sent for maintenance only to be returned with no fault found.
Dan has also built an outside broadcast kit which has simplified these events so that they are not as technical to set up so others can be more involved.
Lastly I would like to thank Dan and Jason for their invaluable help and expertise during the past year.

2024/25 IT Infrastructure Report
Since Jason Xiros joined in mid-2024, he has brought a wide range of IT management skills to the station, strengthening our technical base and preparing Sunbury Radio for future growth. His work has focused on modernising systems, improving reliability, and making sure our broadcasting technology can meet community expectations.
IT Infrastructure and Systems
Over the past year, Jason has led several key projects:
Enterprise-level monitoring: Every machine at the station is now under 24/7 monitoring. If anything goes wrong, Jason receives immediate alerts. This upgrade means our IT is now operating at what can be described as enterprise level, a major step up from previous years.
Raspberry Pi project: Eight Raspberry Pi units are being installed to replace older outdated equipment. Once fully commissioned later this year, these units will provide a more stable and flexible foundation for broadcasting and streaming.
RadioDJ automation: RadioDJ continues to be the heart of our automation system.
Guidelines and signage are being developed to help presenters use it effectively. One challenge identified is that the RadioDJ machine is running low on storage space, and this will need attention in the coming year.
Streaming platform: The current streaming service has been reliable but not without issues. Work is underway to evaluate alternative or additional platforms to ensure a robust listening experience for our online audience.
Website and domain: The station has secured the domain sunburyradio. com.au for the next three years, and website/email management is now handled through improved systems, making our online presence stronger and easier to maintain.
IT planning and documentation: Jason has initiated processes such as an asset register and reviews of IT infrastructure (covering network, backup, and security). These help to ensure long-term planning and continuity.
Outside Broadcast Integration: Our investment in IT infrastructure has also paid dividends in the area of outside broadcasts (OBs), which are now an important part of Sunbury Radio’s community role.
- At the Sunbury Show (Oct 2024), the OB used Mt Holden for connection, achieving 100% reliability compared to the local exchange.
- The Record Fair OBs in February and June 2025 tested and showcased the new OB kit, providing confidence in our ability to take the station out into the community.
- For ANZAC Day 2025, a mobile OB case with a user guide was prepared, making it easier for presenters to set up and operate. Both the dawn and mid-morning services were broadcast, strengthening our partnership with the RSL.
The Sunday Sessions OBs at the Sunbury Social Club also demonstrated how improved IT systems could support live community music events, with further opportunities to expand coverage in the future.
The past year has seen significant progress in IT and technical systems at Sunbury Radio. Thanks to Jason’s leadership and skills, the station is now more resilient, better monitored, and better equipped for both in-studio and outside broadcasting. These improvements provide a stronger platform for future growth in programming, streaming, and community engagement.
2024/25 Outside Broadcasts
Sunbury Radio’s outside broadcasts in 2024–25 strengthened Sunbury Radio’s technical reliability, community visibility, and ceremonial presence, while also testing and refining the new mobile OB kit built by Dan Pedersen.
October 12, 2024 – Sunbury Show OB

Technical support: Steve Tyers & Jason Xiros.
Outcome: The outside broadcast was a success in content and community engagement, though technically challenging with drop-outs and site-signal issues. Valuable lessons were learned to improve future broadcasts.
November 11, 2024 – Remembrance Day OB
Involved: Alicia Killeen, Steve Tyer & Deb Ross — RSL. OB Station Anchors: Chris Galea & Dean Walker Technical support: Jason Xiros & Steve Tyers.
Outcome: The RSL formally requested coverage. This OB was seen as important after technical issues at the Sunbury Show in October. The involvement of Alicia as lead broadcaster helped ensure community engagement and ceremonial respect.
February 16, 2025 – Record Fair OB
Involved: Dan Pederson (Producer), Marsden Williams, Andrew Smith, Jason Xiros, Alicia Killeen, and various presenters
OB Station Anchor: Alan James
Technical support: Dan Pederson.
Outcome: The initial Sunbury Radio Record Fair OB. Described as successful and an excellent “shake-down” of the new OB kit. It gave the team confidence ahead of ANZAC Day. The event also reinforced community visibility.
April 25, 2025 – ANZAC Day (Dawn & 10:30am Services) OB
Involved: Alicia Killeen, Steve Tyer, Jason Xiros. OB Station Anchors: Chris Galea & Dean Walker Technical support: Steve Tyers & Jason Xiros.
Outcome: Sunbury Radio committed to broadcasting both dawn and mid-morning ANZAC services. While the RSL outside broadcast was successfully delivered, a number of technical difficulties were experienced. These will inform adjustments and planning for future outside broadcasts.
June 15, 2025 – Record Fair OB
Involved: Dan Pederson (Producer), Marsden Williams, Andrew Smith, Jason Xiros, Alicia Killeen, and various presenters
OB Station Anchor: Alan James
Technical: Jason Xiros & Steve Tyers.
Outcome: A major community success, widely praised as one of Melbourne’s best record fairs. The OB connected the station directly with the audience. Posters, promotion, and live broadcasting boosted attendance. The event also raised funds and reinforced Sunbury Radio’s reputation.
July & August 2025 – Sunday Sessions OBs

Studio Best Practice
The smooth operation of Sunbury Radio depends on maintaining a professional and wellfunctioning studio environment.
Technical Standards:
All technical equipment, including broadcast consoles, microphones, and recording software, must be maintained to a high standard.

Ensure equipment is regularly tested and serviced to prevent downtime.
Backup Systems:
Have contingency plans and backup systems in place in case of equipment failure.
Health and Safety:
The studio must be a safe working environment for all.
This involves:
Clear Emergency Procedures: Ensure emergency exits are well-marked, and staff are familiar with evacuation protocols.
Studio Hygiene: Regular cleaning of microphones, headphones, and shared surfaces, particularly in high-traffic areas.
Professional Conduct All staff, volunteers, and guests are expected to behave professionally within the studio.
This includes:
Respectful Behaviour: Maintain a respectful and inclusive atmosphere, free from harassment or inappropriate behaviour.
Studio Etiquette: Presenters should arrive on time for their slots, ensure smooth transitions between programs, and avoid disruptions to ongoing broadcasts.
Compliance and Monitoring
This policy will be reviewed annually to ensure compliance with relevant broadcasting standards, including the Community Radio Codes of Practice and any licensing requirements.
Staff and volunteers at Sunbury Radio are responsible for upholding these standards. Non-compliance may result in disciplinary action, ranging from warnings to suspension of broadcasting privileges.
